Project Coordinator

About the Role

The Project Coordinator is the single point of contact between Big Move's delivery team and one client company throughout a 6-month Business Transformation Advisory Program. This role keeps the entire client-facing operation running smoothly — scheduling, data requests, meeting notes, and document flow — so our Expert Leads can focus fully on the substance of the transformation work. You will be assigned to one client for the full duration of the program and will work closely with the Project Manager and six discipline Expert Leads (Finance, Operations, Commercial Strategy, HR, Digital Enablement, and Compliance) to ensure every session, deliverable, and data request moves on schedule.

Key Responsibilities

  • Act as the primary point of contact for your assigned client throughout the 6-month engagement
  • Build and maintain a strong working relationship with the client's internal Project Coordinator
  • Communicate professionally and promptly across email, scheduling tools, and messaging platforms
  • Escalate client issues or delays to the Project Manager within the same business day
  • Schedule and coordinate all weekly working sessions, monthly steering meetings, and discipline workshops
  • Manage calendar invitations, room bookings, and virtual meeting links for all client touchpoints
  • Confirm attendance and send reminders ahead of every session
  • Coordinate logistics for the 3 client kickoff sessions and cross-client cohort workshops
  • Produce Weekly Session Notes within 24 hours of every working session using the standard template
  • Maintain the client's Data Request Tracker and follow up on outstanding items
  • File all completed deliverables, notes, and client documents in the shared Google Drive folder
  • Support the Project Manager in compiling inputs for the Monthly Progress Report
  • Distribute data requests to the client and track responses against agreed deadlines
  • Support Expert Leads in collecting and organizing diagnostic data during the Discovery milestone
  • Coordinate the client review and feedback cycle for each deliverable (5-business-day SLA)
  • Maintain accurate task status in ClickUp for all activities related to your assigned client

Requirements

  • 1–2 years of experience in project coordination, administration, account management, or a client-facing role
  • Excellent written and spoken English and Arabic
  • Strong organizational skills with high attention to detail
  • Comfortable managing multiple priorities and tight deadlines
  • Proficiency with Google Workspace (Docs, Sheets, Drive) and calendar tools
  • Prior experience in a consulting, advisory, or professional services environment (preferred)
  • Familiarity with project management tools such as ClickUp, Asana, or Trello (preferred)
  • Experience supporting SME or corporate clients in a coordination or operations role (preferred)
